BARON'S WAR VIII
MERCHANT INFORMATION

LOCATION AND DATES OF BARON'S WAR VIII

Baron's War VIII will be held this year on the fourth weekend of November (20th - 23rd) at the Schnepf Farms Festival Site in Queen Creek, AZ. The site will open at noon on Friday the 20th and will close at noon on Monday the 23rd. Merchants only will be allowed on site at 10am on the 20th to set up their spaces and will have until 2pm on Monday the 23rd to exit the site. Directions to the site are as follows:

MERCHANT LOCATION AT BARON'S WAR

The merchant area at Baron's War VIII will be located on the north side of the site, in front of the stage (Please see enclosed site map). This area will also be used for special events , tour neys, etc., the goal being to create a "village square"-type atmosphere for those in attendance.

Vehicles will be allowed on the grassy areas for set-up; however, we are requiring that all vehicles be parked in one of the designated parking areas after set-up is completed.

There will be absolutely no selling of items outside of the merchant area; exceptions being a.) A merchant is invited into a specific campsite by those occupying it; or, b.) A merchant is requested by the autocrats to merchant in an area outside of the d esignated merchant area.

Please be advised that there is very little artificial lighting available on site and no permanent shade in the merchant area. Each merchant will need to provide his or her own lighting and shade.

Information concerning availability and pricing of rental tables will be available through the Merchant Autocrat , Lady Morgan the Celt (mka Terri Kennedy). Lady Morgan's contact information is listed below.

FOOD VENDORS AT BARON'S WAR

All vendors selling food at Baron's War must be inspected by the Pinal County Department of Public Health and receive a permit prior to opening their booth. The Permit fee $30. Guidelines fo r construction and operation of a temporary food booth are also available at the below address. To avoid missing application deadlines we recommend you contact Pinal County immediately for detailed information.

RV SPACES AT SCHNEPF FARMS:

A Limited number of R.V. spaces are available on site for a fee of 20$/day. These spaces include electrical, water, and sewage hookups, and are available to populace and merchants alike on a first come-first served basis. Merchants interested in renting the RV space should contact the autocrats. The RV spaces are apart from the merchant area, thus merchanting will not be permitted from these spaces.

MERCHANT FEES AT BARON'S WAR

Each merchant space at Baron's War VIII will measure 15' X 30' and will cost $48 each (pre-registered). A surcharge of $5 will be added on to each merchant space fee for those who choose to r egister at the gate on the weekend of the event. A discount of $3 will be given to those merchants who are SCA members (proof of membership required at time of registration). Please be aware that merchant space is only guaranteed for those who have pre-registered. Checks should be made payable to "S.C.A., Inc, Barony of Twin Moons". Checks will only be accepted from those merchants who are pre-regis tered. All others will be required to pay their merchant fees in cash. NO EXCEPTIONS. This fee also includes one site fee per space. All othe rs accompanying the Merchant must pay a site fee at the gate. Please remember, all fees paid at the gate, both site and merchant, must be paid in cash, no checks will be accepted! Those paying in advance will receive a receipt and confirmation by mail. Please present these at Merchant Registration (located at Troll Booth) in order to receive a parking pass and site token.

Tables will be available at a rental fee of $5.00 per table, per day.

TO REGISTER FOR MERCHANT SPACE AT BARON"S WAR VIII

1. Read and sign the Merchant Agreement. Keep one copy for you files.

2. Complete the Merchant Registration form.

3. Mail completed Merchant Registration form, signed Merchant Agreement and proof of membership (if applicable) by November 2, 1998 to Lady Morgan the Celt mka Terri Kennedy, 2998 W Wilson Dr., Flagstaff, AZ 86001. Baron's War Merchant Agreement

The Society for Creative Anachronism will hold an event known as Baron's War VIII, November 20 - November 23, 1998 at the Schnepf Farms Festival Site in Queen Creek, Arizona. Th e Main Autocrats and Merchant Autocrat for Baron's War VIII gives the undersigned Merchant the right and privilege, as an independent operator (not an employee of the Society for Creative Anachronism, Baron's War VIII or Schnepf Farms Festival Site), to operate a sales booth at Baron's War VIII during the prescribed dates in the designated area.

The Merchant, in signing this Agreement, agrees to abide by the conditions set forth in this Agreement, and by all the directions of the Main Autocrat and the Merchant Autocrat.

The Main Autocrats, the Merchant Autocrat and their appointed deputies will monitor all rules during the event, notifying the Merchant(s) of any infraction of those rules, asking that any violations be corrected.

The Merchant acknowledges being an independent operator, and that neither they nor their agents or employees shall have any authority to contract for or incur any liability or obligation on behalf of the Society for Creative Anachronism, Baron's War VIII or the Schnepf Farms Festival Site, or any of their agents, and will indemnify the above entities against any and all claims that may be made against them due to the activities of the Merchant. The Merchant shall be responsible for any costs, expenses, at torney's fees or judgements incurred by the entities mentioned above in this paragraph, due to the Merchant's activities.

The Merchant agrees to comply with the civil laws and the Baron's War VIII Site Rules and Regulations governing any activities and/or sales at Baron's War VIII. If the merchant fails to comply with said rules, or with any portion of this Agreement, the Main Autocrats and/or Merchant Autocrat may, upon notification, take immediate steps which in their sole judgement may be necessary to protect the interests of Baron's War VIII, including but not limited to the closing of said Merchant's selling site, re moval of the Merchant's sales materials, removal of Merchant from the Baron's War VIII site and halting of Merchant's activities on the premises of the Schnepf Farms Festival Site without refund of any fees to the Merchant.

Merchant set-up will begin no earlier than 10 am on Friday, November 20, 1998. Merchants will, by 2pm on Monday, November 23, 1998 remove all equipment, supplies, sales items, packing materials and trash from the booth and premises. Areas will be left in a clean and orderly condition. Merchants planning to leave the site earlier than Monday, November 23, 1998 must notify the Merchant Autocrat in advance so that appropriate arrangements may be made.

Merchant takes full responsibility for maintenance of their sales area, keeping it clean and supplying the necessary materials for operation. Please note that no open flames are allowed. All fires must be above ground and contained.

The Merchant's theme of decor, sales items, sales area and dress of said Merchant, of their assistants and anyone else occupying said merchant's sales area, must be consistent with the acceptable historical time period for the Society for Creative Anachro nism (prior to 1600 A.D.). The Merchant must add to "an environment which evokes the atmosphere of the Middle Ages and the Renaissance." Determination of violation of these requirements shall be set at the sole discretion of the Main Autocrats, the Mercha nt Autocrat or their agents.

Agents of the Main Autocrats or the Merchant Autocrat may inspect sales area at any time. The Merchant Autocrat reserves the right to demand removal of any sales item deemed unsuitable, in their opinion, for sale at Baron's War VIII. Use of, sale of, or d isplay of any illegal materials of any kind will result in the total cancellation of this Agreement, closure of the sales area and forfeiture of all fees paid at Baron's War VIII.

Everyone connected with Merchant's area is considered to be party to this Agreement and will abide by these rules, those of the Schnepf Farms Festival Site and the Baron's War VIII Site Rules and Regulations. This includes helpers, assistants, family and minors in the company of the undersigned.

In order to be eligible for refunds of Merchant Fees, all cancellations must be made in written form sent directly to the Merchant Autocrat. Letters must be postmarked no later than November 10, 1998. All other refunds (due to cancellation or for any othe r reasons) will be made at the discretion of the Main Autocrats and the Merchant Autocrat.

By signing this Agreement the Merchant agrees; that the staff and personnel of the Society for Creative Anachronism, Baron's War VIII, Schnepf Farms Festival Site and their agents are not responsible for injuries, loss, damage to person or property, and to abide by all decisions and requests of the Main Autocrats and Merchant Autocrat in regard to personal display and conduct during Baron's War VIII.

The undersigned hereby acknowledges that all parties connected with the Merchant's space(s) have carefully read and completely understand the Merchant's Agreement for Baron's War VIII and agree to all the provisions herein.

Greetings unto the Merchants of the Known world from Dietrich and Ynez, Baron and Baroness of Twin Moons, and Autocrats for Baron's War VIII,

It is our pleasure to invite your attendance, as a merchant, to the 8th. annual Barons War. We as autocrats recognize you as a key factor in the ambiance and enjoyment of the event for many membe rs of the populace. To this end we welcome all who wish to merchant their wares.

Many exciting changes have been planned for Baron's War VIII. The Site will be at the Schnepf Farms festival site in Cave Creek, Arizona (Just south and East of the Phoenix Metropolis). Also, the war will be held later in the year on November 20th-22nd, 1998. With these changes we are expecting cooler weather conditions, improved ambiance, and more hospitable camping than previous years.

There are some additional differences that merchants should be aware of:

Though we will not have indoor space for merchants, we are planning to utilize the "Town Square" concept. This will place merchants around a tournament Eric, near court, and at the center of the event. These
arrangements will be designed to make shopping a convenience for the populace, and promote traffic through central areas. Pictures and details concerning the site may be found on the World Wide Web at:

Other facts about the event/site:
- Numerous potable water faucets on site in the camping area.
- Impressive amphitheater for court.
- Private dedicated War site.
- No competing events that would threaten ambiance.
- Security from mundanes.
- Over 80 acres of irrigated grass for clean camping.
- Last year the exchequer recorded 1036 entries to the gate including
children, merchants, and Royalty.
